Communicate effectively with your stakeholders with personalised notifications

IntroductionYour operation contacts receive automatic notifications based on events occurring in your operations (changes in the dataroom, reminders for covenant deadlines, etc.). For personalised communication with your stakeholders, you can also send them customised notifications. |

In addition to automatic notifications, you can send a personalised notification whenever you like and as required, from the dataroom and covenant control tabs, or from the operation overview.
1. Send a personalised notification from the dataroom
- Go to your operation, then to the dataroom tab.
- Choose the stakeholder to whom you wish to send a notification: for example, to send a notification to borrower contacts, choose the shared Agent / Customer directory.
- Select the file(s) and/or directory(ies) concerned by your requirement. If the files you need are not yet loaded into the dataroom, import them.
- Click on “send an email” and enter the desired content:
Here's an email notification example:
The following information is available in the email notification:
- The email object
- The name of the operation in the body of the email.
- Details of your message.
- A clickable link to the file(s) and/or directory(ies) concerned. By clicking on a link, your contact will be redirected to the corresponding dataroom location.
- The automatic dataroom notification summarises all files added by the operation manager the day before, even if a personalised notification has been sent for some of them. You have full control over the settings for automatic notifications.
- Only the operation manager can send a customised notification from Kls Desk. In return, your stakeholders will use their external messaging system.

- List of recipients
- Preview of notification content
💡 Filter on the “Sent e-mails” activity type to view all notifications sent to your stakeholders (automatic and personalised).
2. Send a personalised notification from Covenant control
Example: I want to send a personalised notification to lenders.
- Go to the desired operation, then to the Covenant Control tab.
- Select the control(s) you require. The covenant must be created and published in the covenant list for the associated control to appear on this page. See article on how to set up covenants.
- Click on “Send an e-mail” and enter the desired content:
Once the notification has been sent, the contacts entered in your operation will receive an e-mail notification immediately. See the article on access management.
Here's an example of an e-mail notification:
The following information is available in the email notification:
- The email object
- The name of the operation in the body of the email.
- Details of your message.
- A clickable link to the file(s) and/or directory(ies) concerned. By clicking on a link, your contact will be redirected to the corresponding dataroom location.
Only the operation manager team can send a personalised notification from the Kls Desk. In return, your stakeholders will use their external messaging system.

💡 Filter on the “Sent e-mails” activity type to view all notifications sent to your stakeholders (automatic and personalised).
💡 Lenders will only have access to controls shared by the operation manager (with a validated status or a noted breach). However, they will receive customised notifications regardless of the control's status. It is therefore recommended to use this feature to provide them with information on a control that has not been shared yet.
3. Send personalised notification from the operation
You can send a personalised notification from an operation. This feature allows you to communicate general information to your stakeholders or the Agent team that does not relate specifically to an item in the dataroom or a covenant.
